What a destination invitation needs to do
For a wedding at home, guests mostly need to know when and where. For a wedding in Udaipur, Goa, Jaipur or abroad, they also need to know which days to keep free, how to get there, where to stay and what is being arranged for them. Answering those questions on the invitation saves a lot of phone calls later.
Many couples send a short save the date as soon as the venue is booked, often months ahead for a wedding abroad, and the full invitation later once the schedule and hotel details are fixed. Whatever you send first, give the dates and the city clearly so people can start planning.
Laying out a multi-day schedule
Many destination weddings run over two to four days. A welcome dinner or cocktails on the arrival evening is common, then the functions your family keeps (mehndi, haldi, sangeet, the wedding, the reception) and often a farewell brunch before checkout. The Editorial template follows a Lake Como weekend from welcome cocktails to brunch; Pichola Moon runs from mehendi to reception at a lakeside palace in Udaipur.
- Give each function its own date, start time, venue and map link, even if it is in the same hotel
- Add a dress code that suits the place: sand underfoot, a palace courtyard at night, hill-station cold
- Note anything guests must bring or carry, such as an outfit change between functions
- Say which functions are for everyone and which are for close family
Travel and stay details guests need
Name the nearest airport or railway station, the hotel or hotels where rooms are held, and the dates of the room block. Say plainly what you are covering: some families host the stay and local transfers, others share a group rate and let guests book. Guests should not have to guess, or ask, who is paying.
For a wedding abroad, remind guests to check passport validity and any visa they need, and tell them the weather to pack for. Each function has room for a short note and a dress code, and your invitation message can hold the general travel notes.
Earlier RSVP dates and one link for everything
Set the reply-by date earlier than you would for a local wedding, ahead of the date your hotel needs final room numbers. Guests reply per function, and you see each family’s reply and headcount for every function, which helps with transfers and meal counts.
The invitation is a link you share on WhatsApp, Instagram or email, and guests need nothing to install and no account. Personal links for each family are on paid plans; the free plan has the public link. You can add photos and background music, and see every template with your own names before signing up.
Wording you can copy
Copy any of these and change the names, places and dates to your own.
